One place to capture everything
A course from the Academy: Getting organised with AI: notes, meetings, email
Go to the quiz ↓Ideas in the corner of a notebook, tasks in three apps, links emailed to yourself: it's the scattering, not the lack of time, that wears you out. AI is useless while your notes are everywhere.
The principle: capture fast, sort later
- One notes tool for everything: ideas, minutes, lists, links. Notion, Obsidian, Apple Notes or OneNote all work; the best one is the one you actually open.
- Capture in ten seconds: a quick note on your phone, a voice memo, a forwarded email. If taking notes takes effort, you won't do it.
- Sort once a week, not as you go: that's where AI helps.
What AI does with your notes
- Summarise a long note or a series of notes in a few points.
- Find: "what did I note about the March quote?" rather than digging through folders.
- Transform: a note into a draft email, a list of ideas into an article outline.
Many notes tools now include an assistant that reads your pages: handy, but also a reason not to put just anything in them (see below).
Caution
Don't put anything in an AI-connected tool that you wouldn't hand to a contractor: passwords, health data, clients' confidential information. Check the settings too: some tools let you refuse to have your pages used to train their models.
Key takeaways
- One notes tool, the one you actually open.
- Capture in ten seconds, sort once a week.
- AI summarises, finds and transforms your notes.
- No sensitive data in a tool connected to an AI.
