Integrating AI into your processes: the pilot method
A course from the Academy: AI at work: the small business guide
Go to the quiz ↓How do you go from "I tried it, it's mind-blowing" to a real, lasting gain for the business? With a simple, proven method in four steps: the pilot.
1. Choose ONE task, not "AI in general"
The right target: repetitive, time-consuming, low-risk. Examples: responses to incoming emails, drafting annotated quotes, site or meeting reports, product sheets for the shop. Start with a single task.
2. A one-month pilot, measured
One or two volunteers use the AI on that task for a month. You simply measure: time spent before, time spent after, observed quality. Without measurement, there's no way to know if it's worth it; with it, the decision makes itself.
3. Write the in-house playbook
If the pilot is conclusive, write a single page, no more: the standard prompts that work (your best prompts), confidentiality rules, and who reviews what. This page becomes the reference for the whole team, and the know-how doesn't leave with the person who tested it.
4. Humans remain responsible for the outcome
A non-negotiable principle, to be written in black and white: anything that leaves the company has been reviewed by a human, who takes responsibility for it. AI is a production tool, never a signatory.
Key takeaways
- A pilot = one specific task, one month, a measure of time saved.
- The in-house playbook (one page) turns the trial into a lasting gain.
- Anything that leaves the company is reviewed and owned by a human.
